01

Give the sample a clear identity

Record the product reference, assortment version and sample date, then connect them to the agreed brush list, materials and dimensions. Photograph the product and pack from consistent angles and retain the original files. If the sample changes, give the replacement a new identifier and explain what changed instead of relying on “the latest sample”, which can mean different things to different people.

  • Do not confuse appearance approval with material or packaging approval.
02

Make each approval decision explicit

Review bristles, shape, balance, finish, logo, arrangement and count. For each point, record approved, revise or not yet assessed. Describe an issue by location, reference image and the check needed to resolve it. Where a colour or alignment variation is acceptable, agree the boundary explicitly. An unresolved comment should not silently turn into approval.

  • Nominate one person to consolidate your team's final decision.
03

Close the version before linking it to production

Sampling takes 7–10 days and production takes 35–45 days, with combination, customization and schedule confirmed in the quotation. Discuss when each stage starts and what happens if another revision or sample is requested. Retain the approved, signed reference sample and a matching written record, and define how the batch will be checked against them before shipment.
